DescriptionJOB TITLE: Materials Assistant
Performs a variety of functions related to the Facility's purchasing and materials management functions. Assists Materials Manager with maintaining appropriate inventory levels of materials required to meet the requirements of the surgical schedule. Serves as a back-up to the Materials Manager, as needed.
Reports to: Materials Manager
Supervises: None

  • Holds a high school diploma or equivalent.

  • Demonstrates the interpersonal communication skills required to facilitate effective interaction with a variety of healthcare professionals.
  • Has two or more years of medical facility or medical business office experience (preferred).
  • Demonstrates familiarity with and working knowledge of medical terminology.

    • Possesses good communication and customer service skills.

      • Demonstrates clerical and keyboarding skills.
      • Has familiarity with computer-based software such as Microsoft Office and AdvantX (or other similar information systems for surgical services management).
      • Demonstrates aptitude for learning to use new computer software.
      • Has general knowledge of grammar, spelling and punctuation.


      • Receives supply shipments to the facility.

        Reviews packing slips to ensure that all items listed are received and signs and dates the receipt accordingly.
        If no packing slip is included with shipment or some items received are not indicated, contacts vendor and/or creates a manual packing slip to include items not listed but received.
        Enters receipt of supplies into Advantx, verifying that the system is loaded with the most current price.
        Unloads and places supply receipts in appropriate stock areas.

      • Responsible for organization, tracking and processing of documentation (i.e. invoices, packing slips, purchase orders) pertinent to the procurement of supplies and equipment.

        Verifies that purchase orders and packing slips are organized and have been coordinated according to policy.
        Matches packing slips with purchase orders to insure items received have been ordered.
        Matches invoices with packing slips and purchase orders, and reviews invoices for accuracy and compliance with contractual pricing.
        Reports any discrepancies to accounting personnel before payment of invoices.

      • Monitors outstanding purchase orders/back-orders. Reviews files and records regarding orders and back orders at specific intervals to ensure delivery and to determine delays.
      • Assists Materials Manager with coordination of physical inventory count process.
      • Assists Materials Manager in ordering supplies and equipment for the Facility.
      • Maintains records of warranties and preventive maintenance requirements and contracts.
      • Maintains supplies and records for bio-hazardous waste management.
      • Monitors and ensures licenses for Tissue Banks are current (using on-line access).
      • Contacts vendors regarding equipment maintenance needs and coordinates on-site technical support or shipment of equipment to vendor to complete repairs.
      • Maintains the Facility's master equipment listing and assists with coordinating bio-medical reviews.
      • Assists with other supply and equipment projects, as needed.
      • Participates in the Facility's Supply Value Analysis Committee (SVAC).
      • Helps to compile financial, statistical data and reports, as assigned.
      • Maintains strictest patient confidentiality at all times.
      • Attends facility staff and unit meetings and educational opportunities, as required.

        • The employee must be able to stand or sit for long periods, be able to reach overhead and bend to low areas, be able to exert force up to 50 lbs. occasionally, be able to lift and/or carry up to 20 pounds frequently and up to 10 lbs. constantly.
        • Requires visual and auditory acuity adequate for frequent use of computers and occasional use of other business office equipment.

          • Accountability to the Materials Manager with indirect accountability to the Director of Nursing. Position interacts frequently with Clinical and Business Office staff.
          • A perioperative environment with occasional exposure to chemical odors, cleaning solvents and other hazardous materials.
          • Based on the OSHA guidelines for protection against occupational exposure to Hepatitis and HIV, this position is described as Category II, which means that this position has some exposure to blood and body fluids. Policies are in place for Universal Precautions that identify risks and appropriate barrier protection.
